Event barn rental agreement
This agreement is between the person or group named in the form below (“the host”) and the business named on this website (“the inn”). It covers the host’s use of the restored barn and the grounds around it on the date given in the form.
The booking. The inn reserves the barn for the host on the date in the form. The host may use the barn from 10:00 am to 11:30 pm that day. The inn will let the host set up the afternoon before when the barn is free. One event takes place at the barn each day.
Guests. No more than 120 people may be seated, and 160 standing, at one time. The host will tell the inn the expected number of guests at least 30 days before the event.
Fees and payments. The rental fee is the amount the inn has quoted the host in writing. The date-hold deposit is credited to the fee. The host pays half of the remaining fee when this agreement is signed and the rest 30 days before the event. A $500 damage deposit is due with the balance and is returned within 7 days after the event, less the cost of any damage. The inn sends every payment request as a secure link by email.
If the host cancels. The date-hold deposit is not refunded once this agreement is signed, unless the inn books the date again for another event. If the host cancels 90 or more days before the event, the host owes nothing more. Between 89 and 30 days before, half of the rental fee is due. Within 30 days, the full fee is due.
If the inn cancels. If the inn cannot provide the barn on the date, because of a fire, a storm, a closed road or a government order, it will offer another date or return everything the host has paid.
Food and drink. The host may use the inn’s kitchen or a licensed caterer from the inn’s list. Alcohol must be served by a licensed bartender with liquor liability insurance. No one under 21 may be served alcohol.
Insurance. At least 14 days before the event, the host will give the inn proof of a one-day event liability insurance policy of at least $1,000,000.
Music and noise. Amplified music must end at 10:00 pm. Guests may stay in the barn until 11:00 pm, and the host’s vendors will be out by 11:30 pm.
Care of the barn. Nothing may be nailed, stapled or taped to the beams or walls. No confetti, glitter, rice or birdseed. Open flames are allowed only in glass holders. The fire pit is lit only by the inn’s staff. The host and the host’s vendors will leave the barn as they found it, with trash in the bags and bins provided.
Pets, vendors and vehicles. Pets are not allowed in the barn except service animals and pets in the host’s wedding party, with the inn’s permission. The host will give vendors the inn’s parking and load-in rules. Guests will park only in the marked areas.
Lodging. Rooms and the cottage are booked separately, under the inn’s room policies and rates. The inn will hold rooms for the host’s guests for 120 days after this agreement is signed, and then release them.
Responsibility. The host is responsible for the host’s guests and vendors. As far as the law allows, the host releases the inn from claims for injury, loss or damage that come from the event, except those caused by the inn’s gross negligence or willful misconduct. This does not take away anything the law does not allow the inn to take away.
The whole agreement. This is the whole agreement. Changes must be in writing and agreed by both. It is governed by the law of Vermont. A typed or drawn signature on this page counts as a signature, and the host will receive a copy by email.
In this agreement, “the inn” means the business named on this website, and its owners and staff.
